Managing Multiple Units of Measure for Products

Wafeq allows you to define more than one unit of measure for the same product (such as kg, g, or ton), and link them using conversion rates. This enables you to use different units for purchasing and selling, while keeping inventory and reports consistently based on a single base unit.

This provides both operational flexibility and accounting accuracy.

Creating a Product with Multiple Units of Measure

Start by adding a new product or editing an existing one:

• From the main menu, click “Inventory” then select “items”
• Click the “Add” button
• Enter the basic product details

Enabling Multiple Units of Measure

Within the product setup screen:

• Go to the “Units of Measure” section
• Select a base unit that will be used for all reports and accounting (e.g., kg)
  • If the unit does not exist, click “Create Unit of Measure” to add it
• Then click “Set up multiple units”

Adding Additional Units and Defining Conversions

After selecting the base unit (e.g., kg), you can add other related units:

• Click “Add another unit”

• Select the unit name (e.g., g or ton)

Then define the conversion rate:

This field determines how much the new unit equals compared to the base unit.

• Example 1 (Larger unit): If the base unit is kg and you add ton, enter 1000 (because 1 ton = 1000 kg).

• Example 2 (Smaller unit): If the base unit is kg and you add g, enter 0.001 (because 1 gram is 0.001 of a kilogram).

In other words, each unit must have a clear relationship to the base unit.

You can also optionally define:

• Selling price per unit
• Purchase cost per unit

Example:

• Price per kg = 1000
• Price per g = 1

If not entered, you can set the price later when creating invoices.

You can also set:

• Default purchase unit (e.g., ton)
• Default sales unit (e.g., g)

This allows the system to automatically select the appropriate unit when creating bills or invoices, while still allowing manual changes per transaction if needed.

Using Units in Transactions

When creating a bill or invoice:

• Select the product
• Choose the desired unit of measure from the list
• The price will update automatically based on the selected unit

Notes

• In reports, all quantities are always displayed using the base unit, even if transactions were recorded using different units
• The base unit cannot be changed, and units cannot be edited once they have been used in any transaction
