Invoice Submission and Processing

Answers to common questions about what happens when you send an e-invoice.

What happens when I report an invoice?

Wafeq reports the invoice to the FTA and attempts to deliver it to your customer over the Peppol network. Reporting doesn’t happen instantly; the status updates within seconds or minutes.

Do I still need to send the invoice to my customer by email?

Yes. Even if your customer is registered on Peppol, there is no guarantee that their software shows incoming e-invoices. Keep sending your invoices as usual, for example as a PDF by email.

Can I edit an invoice after it has been reported?

You can only edit fields used for your internal accounting, such as the account, cost center or project. To correct anything else, void the invoice: Wafeq creates a credit note and reports it. Then create a new invoice.

Are invoices created by integrations (such as Stripe) reported automatically?

No. Invoices created in Wafeq by an integration are not reported to the FTA automatically. Report them manually, or mark them as reported outside Wafeq if they were already reported through another system.

When should I use "Mark as reported outside Wafeq"?

Use it for invoices that were already reported through another system, for example invoices synced from another e-invoicing software or imported during a migration. This prevents reporting the same invoice twice.

How do I send e-invoices from the ASP portal?

Send them through the API, or import an Excel file from Files > New import. Nothing is sent until you approve it. Refer to How to Send E-Invoices from an Excel File in the Wafeq E-Invoicing ASP Portal (UAE).

Can I recall an invoice after it has been sent from the portal?

No. An invoice that is in flight or has been accepted can’t be recalled. To correct it, issue a credit note.
