System accounts and locked accounts

English Template (2) (1).pngIn the Chart of Accounts, some accounts have a padlock icon 🔒. This means that you cannot delete these accounts.

There are three main reasons you won't be able to delete an account: it's a system account, a linked account, or the account has transactions.

 

System accounts

System accounts are special accounts that Wafeq needs to generate reports such as VAT returns, Profit & Loss or Aged Receivables and Payables reports.

The system accounts that are created in every chart of accounts are:

Accounts Receivable

Keeps track of amounts that customers owe you. 

Used in:

  • Invoices
  • Credit notes
  • Customer advances

Liability

Accounts Payable

Keeps track of amounts that you owe suppliers. 

Used in:

  • Bills
  • Debit notes
  • Supplier advances

Liability

Payroll Payable

Keeps track of amounts that suppliers owe you. 

Used in:

  • Payslips

Liability

Employee Reimbursements and its sub-accounts

Keeps track of expense claim reimbursements that you owe your employees.

Used in:

  • Expense claims

Asset

Inventory

Keeps track of total inventory value.

This is a non-posting parent account to warehouse accounts.

Equity

Retained Earnings

Keeps track of total profit up until the previous financial year.

Expense

Exchange Gain or Loss

Records gains or losses that result from differences in exchange rates.

Liability

VAT

Keeps track of Input and Output VAT.

 

Linked accounts

Linked accounts are accounts that are created when you create any of the following:

  • A bank account. Bank accounts are created from the Bank Accounts page.
  • An employee. A reimbursements account is created in the name of the employee. 
  • A warehouse. An inventory account is created in the name of the warehouse.
