Manual journals allow for the recording of financial transactions that are not automatically processed through invoices or other system transactions. In this guide, we will cover how to record and manage manual journals in detail.
How to Add Manual Journals on Wafeq
Go to the "For Accountants" menu in the main navigation, then select "Manual Journals."
To add a new entry, click the "Add" button.
In the first row, enter the details for the debit party, then for the credit party in the second row. After that, click on the arrow next to the "Save and pos" button, then choose:
- Save and post: This option finalizes and posts the journal entry, which will then be reflected in your general ledger.
- Save as Draft: This option saves the entry as a draft, but it will not have any financial impact on your ledger. This is useful for entries that are not yet complete or need further review.
You can also add attachments to the journal entry, such as images, files, and more. In addition, you can print the journal.
After saving, you can hover over or click the green book icon to view the journal entry in the general ledger.
Manual Journals List
The journals list gives you a comprehensive overview of all the journal entries you have created. From here, you can easily review invoices, filter them, and take direct actions:
- Search bar: Type a keyword, such as a description of an entry, to filter the entries and find what you are looking for.
- All Time: Allows you to select a date range to display data based on the selected period.
- Add Filter: Use the filters to narrow down the results by status (e.g., Draft, Posted), or contact ...etc.
- Sort: You can sort data by date (for example, from oldest to newest or vice versa), alphabetically, or using various other sorting options based on your needs. You can also apply multiple sorting criteria simultaneously and easily rearrange the selected options by dragging and moving them, helping you present your data in a more organized and user-friendly way.

Import: Upload your journal entries in bulk (You can find this option by tapping the three dots on the screen).

- Export: Download the journals list in your preferred format (You can find this option by tapping the three dots on the screen).
Bulk Actions on Manual Journals
After creating and posting multiple Manual Journals, you may need to perform actions on several journals at once instead of opening each Journal individually.
Wafeq allows you to select multiple manual journals from the debit notes list and apply certain actions to them in bulk.
To do this, go to "For Accountants" from the "Manual Journals" menu in the main navigation, then select the required bills using the checkboxes in the right-hand column of the table. and then click the arrow to display a list of available actions that can be performed on the selected items.
What bulk actions are available?
- Change status to Draft: Used to revert selected manual journals from Posted status back to Draft, allowing you to edit their details or correct any errors before posting them again.
- Delete: Used to delete a group of selected manual journals.
Make a Copy: Create a copy of the selected journals.

Post: Used to post multiple selected manual journals at once, changing their status from Draft to Posted.
