When managing an organization on Wafeq, you may need to add different members of your team—such as an accountant, an HR manager, or a business partner—so they can work with you on the same data.
To support this, Wafeq provides a smart and flexible invitation flow that ensures a smooth experience for both the sender and the invited user, regardless of the invited user’s status (whether they already have an account or are new to the platform).
This guide walks you through the different scenarios that an invited user may encounter when accepting an invitation.

Scenario 1: A New User Accepts the Invitation and Joins Your Organization on Wafeq
To accept the invitation:
Open your email.

Click “Accept invite” to begin the joining process.
The account creation form will open, and the email address that received the invitation will appear automatically.

Create a new password, then click “Create account.”

Complete your profile by entering the required information, then click “Next” to proceed to the invitation confirmation step.
The invitation details will appear, including the organization’s name and the name of the person who sent the invitation.
Click “Join organization” to complete the linking process.

You will be redirected automatically to the organization you were invited to, and you can begin using the system based on the permissions assigned to you.
Scenario 2: Accepting the Invitation with an Existing Wafeq Account Using the Same Email
To accept the invitation:
Open your email.
Click “Accept invite” to begin the joining process.
Click “Already have a Wafeq account? Log in here.”
Enter the email address that received the invitation, along with your password, then click “Sign in.”
The invitation details will appear, including the organization’s name and the name of the person who sent the invitation.
Click “Join organization” to complete the linking process.

You will be redirected automatically to the organization you were invited to, and you can begin using the system based on the permissions assigned to you.
Scenario 3: Accepting the Invitation While Already Logged In with the Same Email
To accept the invitation:
Open the email.
Click “Accept invite” to begin the joining process.
Because the user is already logged in with the same email used for the invitation, the system skips the login steps and displays the join option immediately.
The invitation details will appear, including the organization’s name and the name of the person who sent the invitation.
Click “Join organization” to complete the linking process.

You will be redirected automatically to the organization you were invited to, and you can begin using the system based on the permissions assigned to you.
Scenario 4: Handling the Invitation When the User Is Logged In with a Different Email
To accept the invitation:
Open the email.
Click “Accept invite” to begin the joining process.
A message will appear prompting you to switch accounts and log in using the email address that received the invitation.
Click “Log out.”
Then sign in again using the email address that received the invitation, or create a new account if you do not already have one associated with that email on Wafeq.
The invitation details will appear, including the organization’s name and the name of the person who sent the invitation.
Click “Join organization” to complete the linking process.
You will be redirected automatically to the organization you were invited to, and you can begin using the system based on the permissions assigned to you.
Scenario 5: What Happens When an Invitation Has Expired?
- The user will still receive the invitation email and can open it normally.
- They can open the email and click “Accept invite.”
This invite has expired. Please contact the person who invited you.
Scenario 6: Detecting Existing Valid Invitations When Registering for the First Time
Create a new Wafeq account using the email address that previously received these invitations.
These invitations will appear, and you can choose to accept or decline them.
