Supplier Statement of Account

English Template (20) (1).pngYou can use the Supplier Statement report in Wafeq to view all financial transactions related to your suppliers and see the outstanding balance, whether it is payable to the supplier or owed by them.

This guide walks you through how to access the report, explains the key columns, and shows how to use the report to support collection and follow-up.

 

Viewing the Supplier Statement

Click "Reports" from the main menu, then click "Supplier Statement of Account" under the Purchases
section.

You'll find the Supplier Statement report showing your supplier’s transactions, including the following details:

  • Date: The dates of the transactions, listed from oldest to newest.

  • Serial Number: A system-generated internal reference used to track the transaction within Wafeq.

  • Source: Indicates the type of document related to the transaction (such as an "bill", or "debit Note"). Clicking on it will open the document.

  • Activity: Represents the nature of the transaction and is generated automatically.

  • Reference: Shows the reference number entered when creating the related accounting document (like the bill).

  • Project: The name of the project linked to the transaction.

  • Debit: The amount you have paid to the supplier, recorded in the original transaction currency.

  • Credit: The amount owed to the supplier as a result of recorded purchase bills or expenses, representing a liability that you are required to settle, recorded in the original transaction currency.

  • Debit (SAR): The same "Debit" value, but converted into Saudi Riyals (the account's currency).

  • Credit (SAR): The same "Credit" value, converted into Saudi Riyals (the account's currency).

  • Balance (SAR): The running balance after each transaction, which shows:

    • Positive balance: The remaining amount payable to the supplier.

    • Negative balance: A balance in your favor with the supplier, such as advance payments or overpayments.

The cumulative balance changes based on each transaction. Every transaction is treated as the latest issued entry and added to the previous ones. Therefore, to view the full running balance up to the most recent point in time, refer to the latest transaction or the “Movements total and balance” field.

Select the report date range

Click the date range at the top of the report to control the period displayed, either by selecting from the available predefined ranges or by setting a custom date range.

Customize columns in the Supplier Statement of Account report

To control which columns appear in the report or to change their order, click “Edit Columns”:

  • Enable the toggle next to the field you want to display, or disable it to hide the field.

  • Reorder columns using drag and drop to arrange them in your preferred order.

  • You can freeze a column by dragging it into the “Frozen Columns” section, so it remains visible at the beginning of the table when scrolling horizontally. This makes it easier to track important data while reviewing the report.

  • Click “Reset” to return to the default settings (both visible fields and their order).

Filter the Supplier Statement of Account

To control what is displayed in the report, click the “Add Filter” button and select a specific date range, project, employee, or any other required filter, then click “Apply.”

When a date range is selected, the report displays only the transactions that occurred within that period.


If the supplier has transactions that occurred before the selected range, they are shown in a row labeled “Opening Balance”, which represents the balance carried forward from previous periods.


Example:
If a supplier has an unpaid purchase bill of SAR 2,000 issued in January, and you view the statement of account for February only, the purchase bill itself will not appear. However, an Opening Balance row will be displayed at the top of the report showing SAR 2,000 in the balance column, representing an outstanding amount payable to the supplier carried over from the previous period.

 

 

Display the statement of account for a specific supplier

If you want to view the statement of account for a single supplier only, apply a filter using the “Contact” field and select the required supplier. The report will then display only that supplier’s transactions.
 

In this example, two purchase bills are shown for the supplier:

  • The first bill (the earlier one by date) has a value of SAR 5,000. Since there were no previous transactions, the supplier balance is SAR 5,000.
  • The second bill (the more recent one) has a value of SAR 5. As a result, the supplier balance becomes SAR 5,005, because the balance field shows the cumulative running balance. No payments had been recorded at that point to reduce the payable amount.
  • At the end of the report, the Movements total and balance row is displayed. This shows the total amount payable to the supplier (if the balance is positive) or the total credit balance in your favor with the supplier (if the balance is negative).

Export the Supplier Statement of Account

Click the “Export” button on the report screen, then choose the desired format from the dropdown menu to download the statement of account, whether as a PDF, Excel file, or other available formats.
